Run the Agency, Not the Spreadsheet

The story

YouTube agencies managing multiple creators were drowning in spreadsheets, Notion boards, Slack threads, and disconnected tools. ContentFlow was designed from the ground up as a single operating system for the entire agency. The navigation is radically simple: just five verbs — Today (what needs me right now), Pipeline (where is everything by stage), Calendar (when are things due and shoots scheduled), People (who has load and performance), and Money (MRR, invoicing, billing status). We built role-specific dashboards for 11 distinct roles — Founder, Content Manager, Editor, Cinematographer, Casting, Script Writer, Researcher, Thumbnail Designer, Admin, and two freelancer tiers. The design uses a distinctive paper/notebook aesthetic with hand-drawn typography and warm tones, making a complex tool feel approachable. Urgency is consistent across all roles: red, amber, green means the same thing everywhere. One brief replaces five tiles, and pipeline stages use the same shape on every screen.
